Renewal should not begin at the expiry date

Whiteboard illustration of clients & capability

A renewal conversation becomes difficult when the client is asked to reconstruct a year's value shortly before the agreement ends. The supplier may remember every contribution; the buyer may remember only the most recent invoice and unresolved issue.

Maintain a shared record of useful work throughout the engagement. Include decisions supported, outputs used and obstacles resolved. Where outcomes depend on several contributors, describe your contribution without claiming sole credit.

Discuss changing needs before proposing the next term. The original arrangement may have served its purpose. A lighter cadence, a different scope or an internal handover may now be more appropriate than automatic continuation.

Identify who will assess renewal. The original sponsor may have moved, and a new approver may need a different explanation. Make the value intelligible without relying on personal loyalty to the person who first hired you.

Address dissatisfaction while there is time to act. An unresolved problem should not be discovered for the first time in a pricing negotiation. Ask periodically what is less useful than expected and what the client would change.

Renewal is a fresh buying decision informed by a shared history. Treating it that way encourages an honest account of both value and fit. The relationship can continue with greater clarity, or end well enough that the client remains willing to recommend you.

Put it to work

A practical next step

Schedule a fit review well before the commercial deadline. Bring a concise contribution record and ask what the next period needs to accomplish, including whether the present service is still the right form of help.

Proposed practice, not a completed experiment. Illustrations are not client testimony.
